Privacy Policy

Information you provide directly. Contact information (name, email address, phone number, mailing address), demographic information, health and medical information related to ADHD diagnosis and treatment, payment information, communication preferences, information shared during coaching sessions, responses to intake forms and assessments, and feedback and survey responses.

Information collected automatically. Log data (IP address, browser type, pages visited), device information, cookies and similar technologies, location information, and usage patterns.

Information from third parties. Information provided by sponsors or family members (with appropriate consent), or information from referring professionals (with your permission).

HoneyBook. We use HoneyBook as our client management platform for proposals, agreements, scheduling, payment processing, and client communication.

Google Workspace. We use Google Workspace (including Gmail, Google Calendar, and Google Drive) under a Business Associate Agreement (BAA) with Google for enhanced data protection. Session details may be stored in Google Calendar; email communications in Gmail; shared documents in Google Drive.

Gemini AI. Google's Gemini AI assistant within Google Workspace assists with email management, scheduling, and document organization, covered under our Google Workspace BAA.

Zoom. We use Zoom for video conferencing under a Business Associate Agreement (BAA). Sessions may be recorded with your consent.

Claude AI by Anthropic. Connected to assist with email management, scheduling, business communications, professional development, and creating coaching resources. See Anthropic's Privacy Policy at https://www.anthropic.com/privacy.

Messaging platforms. We may use WhatsApp, Signal, or Google Voice for client communications. We recommend discussing your communication channel preference during our initial consultation.

Website infrastructure. The site is hosted on Cloudflare Pages. Cloudflare logs basic request data (IP address, user agent, timestamp, requested page) for security and uptime purposes.

Payment processing. Stripe and HoneyBook Payments handle payment information. We do not store full card details.

MailerLite. We use MailerLite to manage our newsletter list. If you subscribe, your email address is stored with MailerLite and used only to send updates about programs and group coaching. You can unsubscribe at any time via the link in any email. See MailerLite's Privacy Policy.

Analytics. Google Analytics 4 (GA4) for website traffic analysis — see "Analytics and Cookies" below for full details. We do not use advertising or behavioral tracking cookies.

Providing and improving our coaching services; communicating with you about your coaching relationship; processing payments; sending service notifications; personalizing your experience; fulfilling our legal and professional obligations; analyzing and improving our website and services; marketing our services (with explicit consent); and credentialing and professional development.

Coaching session notes and records: Four (4) years following the conclusion of coaching.

Zoom recordings and transcripts: Automatically deleted after 90 days.

Email communications: Retained in Gmail for two (2) years, then archived and eventually deleted.

Calendar appointments: Two (2) years after conclusion of coaching.

Payment information: As required by tax and accounting laws (typically 7 years).

Newsletter subscriber data: Retained in MailerLite for as long as you remain subscribed. Deleted within 30 days of unsubscribe.

Website usage data: Up to 26 months via Google Analytics.

Two-factor authentication for all service accounts; Business Associate Agreements (BAAs) with key service providers (Google Workspace, Zoom); end-to-end encrypted messaging where possible; regular security assessments; limited access to personal information on a need-to-know basis; and careful vetting of AI tools for security and privacy compliance.

Session content is confidential between coach and client per ICF Code of Ethics standards. In organizationally sponsored engagements, sponsors receive only the engagement-metric reporting agreed in writing in advance — never clinical or personal session detail.

Required disclosures (imminent risk of harm, court orders, etc.) follow applicable law and the ICF Code of Ethics. These exceptions are reviewed with every client during intake.

We may share your information with service providers who assist in delivering our services; if required by law, court order, or legal process; to protect our rights, privacy, safety, or property; or with your explicit consent. We do not sell, rent, or trade personal information.

California residents (CCPA). You have the right to know what personal information we collect, to request deletion, to opt-out of the sale of personal information (we do not sell personal information), and to non-discrimination for exercising your rights. To exercise these rights, email luke@myadhdlifecoach.com with "CCPA Request" in the subject line.

EEA residents (GDPR). You have rights to access, rectification, erasure, restriction of processing, data portability, and objection. To exercise these rights, email luke@myadhdlifecoach.com with "GDPR Request" in the subject line.

We use Google Analytics 4 (GA4) to understand how visitors use this site. GA4 uses cookies and similar technologies to collect anonymized data including pages visited, time on site, and general location (country or region level only). No name, email address, or other personally identifying information is included in analytics data.

Analytics cookies are not set until you consent. A cookie banner appears on your first visit; you may accept or reject analytics cookies at that time. You can change your choice at any time using the Cookie Settings link in the footer of any page.

We use Google Consent Mode v2, which means GA4 waits for your consent choice before sending any data. If you reject analytics cookies, GA4 receives no individual-level data from your visit.

Google Analytics data is retained for 26 months and processed under Google's Privacy Policy. We do not use advertising cookies, behavioral tracking cookies, or any remarketing technology.

Cookie Settings. You can accept or withdraw analytics consent at any time by clicking Cookie Settings in the footer of any page.

Global Privacy Control (GPC). This site honors the Global Privacy Control signal. If your browser or a privacy extension sends a GPC opt-out signal, analytics will not be activated for your visit — you will not be shown a consent banner, and no analytics data will be collected.

California residents (CPRA). The California Privacy Rights Act requires businesses to honor GPC as a valid opt-out of the sale and sharing of personal information. We do not sell personal information. To opt out of analytics data sharing, use GPC or the Cookie Settings link in the footer.

EEA residents (GDPR). The legal basis for analytics processing is your consent (Article 6(1)(a) GDPR). You may withdraw consent at any time via Cookie Settings; withdrawal takes effect from the moment it is applied.

In the event of a data breach that may compromise your personal information, we will notify relevant regulatory authorities within 72 hours where required by law, notify affected individuals without undue delay, and take immediate steps to contain the breach and mitigate harm.

We may update this Privacy Policy from time to time. The updated version will be indicated by an updated "Last Updated" date at the top of this policy.
